Wedding Day Timeline: A Guide To Your Band’s Schedule

Wedding Day Timeline For Your Band 5

Between the ceremony, the speeches, the meal, and everything else, it's easy to lose track of exactly where your band fits into the day. Here's a practical run-through of the typical wedding day timeline entertainment-wise, so there are no surprises on the day itself.

Arrival and set-up

Most bands ask for around an hour to arrive, set up their equipment, and run a proper sound check before guests need the space. Some larger line-ups require more like 2 hours to realistically get fully setup and checked. If your schedule is tighter than this, it's worth flagging early — bands are generally happy to work with a shorter window where needed, but it helps to know in advance rather than on the day. Bands are excellent at blending into the background while loading in and setting up, but if everything is in one space you might need the “early arrival” add-on option.

Standard on-site hours

A typical on-site time runs from early evening (typically 6pm for most bands) through to midnight, but this is genuinely flexible around your own schedule. Need the band there earlier for an afternoon slot, or performing later into the night? Just let them know your requirements in good time — additional fees may apply for extended hours, but it's rarely a problem to accommodate.

One thing worth knowing: bands don't start too early

It's a common misconception that a wedding band should be ready to play the moment guests arrive at the evening reception. In practice, most bands time their first set carefully around your actual schedule — after speeches, once the meal has properly wound down, or whenever else makes sense for your day — rather than starting the second the door opens and potentially playing to an empty dancefloor. If your timings shift on the day (and for most weddings, they do, at least a little), a good band adjusts without missing a beat.

What happens if your day runs over?

Speeches run long, the meal takes longer than planned, the light's still perfect for one more round of photos — none of this derails a well-run band. Timings changing after booking (or even on the day itself) is something bands deal with constantly, and a professional act will simply shift their set around it rather than treating your schedule as fixed in stone.

Wedding Day Timeline for Your Band - A Rough Guide to Work From

  • Roughly an hour before their first set: arrival, set-up, sound check (standard arrival time is 6pm or after).
  • Background playlist on once setup: so while people get warmed up it isn't silent.
  • Evening reception: first live set, timed around your actual schedule rather than the clock.
  • Breaks between sets: background music keeps playing, so the room never falls silent.
  • Midnight (standard finish): final set wraps up, unless you've arranged an extended finish in advance.

None of this needs to be rigid — it just helps to know roughly how the day is structured, so you can plan the rest of your evening around it with confidence.
