Feeding the Band: A Simple Guide to Vendor Meals at Weddings

It's a small line item on the wedding planning list, but one worth getting right: does your band need feeding, and what does that actually involve? Here's a quick, simple guide to feeding your band.

The short answer: usually, yes — and it's simpler than it sounds

Depending on your timings, some hot food is hugely appreciated (along with a reasonable supply of soft drinks), and it genuinely doesn't need to be anything fancy. In most cases, this is already sorted without you needing to think about it twice — many catering companies include a "crew meal" as standard as part of their package, or your venue may already have evening food laid on that the band can share in, if you can just factor them into your numbers.

The only thing you need to know from your band is how many members there are (we always aim to list if there is a sound engineer additional to the listed number of members) and if they have any dietary restrictions (e.g. vegetarian or allergy) – but don’t worry, catering companies are used to accommodating this. Usually this can be sorted at the point that you are in contact with your band (typically 3 months out from your big day).

Why it's worth getting right

A band performing across an evening reception is doing physically demanding work for hours at a stretch. A well-fed band brings more energy to the last set of the night than one running on empty — it's a small consideration that has a genuinely outsized effect on how the evening ends.

What to check with your caterer or venue

• Does your catering package already include vendor or crew meals?
• If not, is there evening food (evening buffet, bacon rolls, whatever you've got planned) that the band can simply share in?
• Roughly what time would suit, given the band's own performance schedule?
